The Barnsley Archives and Local Studies Department is always interested to hear of any documents, maps, illustrations or photographs relating to the Borough, which are of historical interest. We will accept materials such as these either as gifts or loans.

Terms and conditions

Different conditions will apply dependent on whether the donation of materials is made as a gift or a loan.

In the case of a loan, ownership of the materials concerned remains with the depositor. The Archives Department will then retain the materials for a period sufficient to justify the costs for cataloguing, conserving and storing them.

Where a gift is donated, ownership of the materials will transfer to Barnsley Metropolitan Borough Council on such terms and conditions as may be agreed, including provisions in relation to copyright.

Ownership of archives by a public body is subject to the Freedom of Information Act 2000 and will carry obligations for giving access to the material under the Act.

Materials may also be placed with the Barnsley Archives and Local Studies Department on a temporary basis for an agreed period. This is called a temporary loan.

If Barnsley Archives and Local Studies Department feels that the materials received on loan are not relevant to their work, they reserve the right to return the materials to their owner, or with the owners written consent to transfer them to a more appropriate place of deposit or destroy them.

What you need to do to deposit materials

If you want to deposit materials with the Archives Department, either temporarily or as a permanent gift, you must complete and sign a Copyright Agreement and a Personal Data Agreement and sign and date the Accession Register to prove that you have read the Conditions of Deposit.

If you change your name or address following donation of any materials, you should let the Archives Department know. It is your responsibility to ensure that the Department has up-to-date records. They will not accept responsibility for any consequences that may arise from failure to notify such changes.
